HRMS (SAP) Access

There are two methods for accessing HRMS:  SAP GUI Windows client, and the HRMS Portal.  SAP GUI and the Web GUI option from the HRMS Portal are available to professional users only. The following areas will assist in accessing both the SAP GUI and the HRMS Portal:

SAP GUI Windows Client Software

SAP GUI is the preferred access method for frequent HRMS users, and must be used when the user:

  • Needs full scope of HRMS functionality
  • Uses Windows oriented applications in conjunction with HRMS (Microsoft Office and etc.)
  • Requires multiple user sessions (maximum of 6)
  • Creates Ad Hoc reports
  • Prints extremely large reports
  • Accesses Business Explorer
  • Requires file transfers

The HRMS Portal

The HRMS Portal provides secure access to the State's Employee, Employee Self Service applications. Some professional users access system reports from the portal.

Employee Self Service (ESS) - All State Employees

Employee Self Service is an online application that gives Washington State Employees secure, password-protected access to:

  • View and print your earnings statement for the current pay period
  • View and update your permanent and mailing address
  • View and update your emergency contact information
  • View and update your e-mail address
  • Submit Leave requests (some State agencies)

Note: All state employees should have ESS portal password. Forgotten passwords can be updated at the portal by the user.


SAP through the web browser (Web GUI)

Web GUI is provided as an option to professional users who access HRMS through the HRMS Portal. Web GUI is intended for casual and occasional users who do not require the full scope of functionality in HRMS.

Web GUI is a good option when the user:

  • Does not use Microsoft Windows-oriented applications in conjunction with HRMS
  • Is set up as a zero administration client
  • Does not have SAP GUI installed on their PC
  • Opens only a single user session

BI Reports and/or Web GUI - Designated Users Only

BI Reports on the HRMS portal allow both BI End Users and BI Power Users to view reports and to add/remove rows or columns, filter and sort report results, etc.

Web GUI on the HRMS portal allows designated HR administrators certain access to the HRMS system through a Web Browser.

The access method to BI Reports and/or Web GUI depends on whether your agency is on the state government network (SGN) using the statewide Enterprise Active Directory (EAD).

All current SAP GUI updates and patches can be downloaded from this page.

There is no need to request an .ini file when upgrading from SAP GUI 7.20 to SAP GUI 7.30 or Re-install SAP GUI 7.30 on a new workstation.  The saplogon.ini file is located in C:\Windows directory of each of SAP GUI user's workstation.

Downloads are primarily upgrades and patches for applications that reside on the desktop, or agency networks and enable interaction with HRMS.

SAP GUI 7.30 is available for download. Older versions of the SAP GUI interface remain viable, but are no longer supported. If you have issues with the SAP GUI interface with HRMS, we recommend that you download version 7.30, prior to requesting support. See available downloads below. Always review instructions prior to downloading.

Patch Installation instruction for SAP GUI 7.30 patches

1. Extract the file

2. Double click on gui730_11-10010496.exe file and follow the wizard to complete the installation

3. Double click on BI730SP08_800-10011800.exe file and follow the installation wizard to complete the installation.

saplogon.ini and sncgss32.dll files n/a 10/14/2016

There is no need to request an .ini file when upgrading from SAP GUI 7.20 to SAP GUI 7.30.  The saplogon.ini file is located in C:\Windows directory of each workstation of the existing SAP GUI users.

Single Sign on (SSO) agency will need an additional sncgss32.dll file.  This file is also can be located in the file.
