Email Address Naming Standard

Number:
EA-01-04-S

Purpose

The email naming standard requires agencies to use FirstName.LastName@agency.wa.gov or FirstName.mi.LastName@agency.wa.gov for primary email addresses and User Principal Names (UPN), ensuring uniqueness within each agency namespace. Duplicates are resolved with a middle initial or a number. Names exceeding 64 characters may be shortened. Exceptions include obfuscated addresses for protection or using legal/preferred names. Sub-addressing (e.g., First.Last+tag@agency.wa.gov) is allowed. The local part cannot exceed 64 characters, and the full address must stay within 256 characters. Formats for non-individual addresses (e.g., service accounts) are determined by the agency. Primary SMTP and UPN must always match.
