The IT Project Resources are not meant to replace your agency’s internal project management practices or prescribe how you must operate. Instead, they offer concepts and tools that can strengthen delivery by providing a scalable framework for project level coordination. All project documentation should be maintained throughout each stage in alignment with agency policies and, where applicable, WaTech requirements and oversight expectations.
During Stage S7, the Knowledge Transfer Plan checklist ensures that all knowledge materials developed in Stage S5 are fully updated, validated, and aligned with the final system configuration. While the S5 Knowledge Transfer Plan defines the strategy, audiences, and methods for transferring knowledge, the S7 activity focuses on confirming that the actual knowledge assets, such as administrator guides, support procedures, troubleshooting documentation, configuration references, and role‑specific operational materials, are complete and reflect the production‑ready environment.
At this stage, project teams review and update all knowledge artifacts to ensure accuracy, consistency, and usability for every persona involved in ongoing operations, including system administrators, support teams, business owners, trainers, and agency partners. This includes validating that workflows match final business processes, updating screenshots and terminology, incorporating agency‑specific variations, and ensuring that materials meet accessibility and documentation standards.
The S7 supplement also verifies that knowledge materials are organized, version‑controlled, and stored in the designated repository so they are ready for handoff and long‑term maintenance. By completing this activity, programs and projects ensure that all operational personas have the information they need to support, maintain, and sustain the solution after deployment.
For Programs:
