The IT Project Resources are not meant to replace your agency’s internal project management practices or prescribe how you must operate. Instead, they offer concepts and tools that can strengthen delivery by providing a scalable framework for project level coordination. All project documentation should be maintained throughout each stage in alignment with agency policies and, where applicable, WaTech requirements and oversight expectations.
For Programs
Develop a high-level roadmap that outlines the program’s Stages, key milestones, and dependencies. This roadmap will serve as a visual planning tool to guide early engagement with impacted groups, resource forecasting, and oversight coordination. The roadmap must reflect enterprise alignment, cross-agency coordination points, and anticipated WaTech oversight checkpoints (gates).
For Programs with Agency‑Led Sub‑Projects
Identify each sub-project and its sponsoring agency, including planned start and end dates, major deliverables, and integration points with the broader program. Map dependencies across sub-projects, especially where shared platforms, data exchanges, or coordinated releases are required. Align sub-project milestones with enterprise-level Stages, ensuring traceability and consistency across the full program lifecycle. Highlight cross-agency coordination points, such as governance reviews, joint testing cycles, or shared procurement activities. Include oversight checkpoints, such as WaTech milestone reviews, legislative reporting deadlines, and executive sponsor briefings.
For Projects
Develop a high-level roadmap that visually outlines the project’s lifecycle, key milestones, and dependencies. This document serves as a planning tool to guide impacted group engagement, resource forecasting, and oversight coordination.
The roadmap should reflect enterprise alignment, cross-functional coordination points, and anticipated WaTech oversight checkpoints. It helps impacted groups understand how the project will unfold and where critical decision points occur.
Key Activities:
- Identify major phases, milestones, and deliverables across the project lifecycle
- Map dependencies between tasks, teams, and external factors
- Align roadmap with WaTech oversight gates and reporting expectations
- Highlight coordination points with vendors, business units, and governance bodies
- Include timing assumptions and contingency planning markers
- Present the roadmap to executive sponsors and project leads for review
- Save the approved roadmap in the project records and collaboration site
