The IT Project Resources are not meant to replace your agency’s internal project management practices or prescribe how you must operate. Instead, they offer concepts and tools that can strengthen delivery by providing a scalable framework for project level coordination. All project documentation should be maintained throughout each stage in alignment with agency policies and, where applicable, WaTech requirements and oversight expectations.

 

Completion of Stage 9 confirms that the solution has successfully transitioned from implementation to sustained operations and that all post‑go‑live stabilization, support, and closeout activities are complete. The organization has validated system performance, fulfilled contractual and reporting obligations, and established long‑term operational ownership. This marks the formal closeout of the project or program.

At this point, the initiative has:

  • Monitored system performance and confirmed stabilization through metrics such as uptime, error rates, and transaction volumes.
  • Activated and sustained help desk and support structures, with documented ticket trends and resolution outcomes.
  • Maintained and resolved post‑go‑live defects, including root‑cause analysis and risk updates.
  • Collected and analyzed end‑user feedback to validate user experience and identify improvement opportunities.
  • Identified and prioritized optimization enhancements for future releases or operational planning.
  • Completed the transition to long‑term operations, including support ownership, maintenance plans, and operational governance.
  • Submitted QA closeout certification confirming that post‑launch quality standards have been met.
  • Confirmed sponsor satisfaction and gathered executive feedback on outcomes and performance.
  • Completed contract closeout and asset dispositioning in compliance with financial and procurement policies.
  • Retired legacy systems and completed historical data retention, archival, or disposition activities.
  • Captured final lessons learned and produced a Post‑Implementation Review (PIR) summarizing outcomes, insights, and recommendations.
  • Finalized all project or program closeout documentation and fulfilled oversight reporting requirements.

This transition marks a point where the initiative moves from project execution into long‑term operational stewardship. With complete stabilization, users supported, and operational ownership firmly established, the organization is positioned for sustained success and continuous improvement beyond the lifecycle of the project.
